Job Description:
Friends For Youth is seeking a Director of Operations. The
Director of Operations (DO) will oversee all program operations as
well as the internal functions of FFY. Additionally, the DO will
work closely with the Executive Director (ED) and Director of
Development (DD) on fundraising, interpersonal agency relationships
within the community, and community partnerships as related to
programming. This position is a senior management position
reporting to the ED.About Friends for YouthFriends For Youth (FFY)
is a local Redwood City/Palo Alto based youth-serving organization
that has been serving local communities for over 42 years.
Mentorship is one of the most powerful ways to positively impact
the life of youth at-risk, and over the years FFY has matched
thousands of disadvantaged youth who lack critical adult support
with volunteer adult mentors who spend a few hours a week providing
unconditional friendship and guidance. The impact of a mentor is
undeniable, oftentimes reversing the negative trajectory of a
youth's life. Four years ago, our school-based group mentoring
program was launched in one school and is now in six. Our staff is
small, but mighty and driven by their belief in the
program.SPECIFIC RESPONSIBILITIESProgram ManagementBe a visionary
who prepares, implements, and manages program plans based on the
Board of Director's strategies for accomplishing Friends for
Youth's mission:Ongoing management of program operations; lead
program managers and staff in goal setting and implementation;
analyze outcome evaluation and feedback data to continuously
improve programming.Develop and implement long-term strategic goals
and objectives to achieve the successful outcome of FFY
programsCreate detailed implementation plans to assure the
achievement of long-term goals and objectives including key
deadlines, milestones, processes, and protocolsSupervise program
staff by providing program leadership, expertise, direction, input,
and feedbackIn partnership with ED, manage the Whole Health for
Youth Collaborative grant administration and activities with
partner agenciesEnsure that program activities operate within the
program policies and procedures; refining and updating required
forms and records, assuring compliance with safety and legal
requirementsDevelop and monitor detailed program budgets for
optimal efficiency and effectivenessDevelop new programmatic
initiatives to support the strategic direction of FFYImplement, and
continue to refine a program evaluation framework to demonstrate
program effectiveness, assess the strengths of programs, and
identify areas for improvementReport detailed status updates to
leadership and the Board of DirectorsOperations ManagementThe DO
will focus on both the long-term vision of the organization with
agency leadership and the short-term day-to-day financial and
operational details that work together toward that vision:Work with
the ED in creating annual budgets; overseeing budget compliance;
maintaining accurate records and accountingResponsible for
day-to-day financial management, bookkeeping, financial. oversight,
analysis, and reporting; provide monthly reports to the BODManage
annual tax filings and audits/review with CPAManage HR functions
and policies, insuring compliance and accuracy, including personnel
onboarding, payroll, time off, and benefits administration, managed
through the TriNet platformCreate and manage HR policies, keeping
the HR Manual current and updatedEstablish and implement a standard
annual performance review, along with a professional development
planScreen, interview, and hire new program and operations
employees in accordance with Trinet onboarding policies, including
adherence to all safety and screening policies; provide thorough
appropriate trainingConduct exit interviews and terminations as
neededMaintain office culture including managing staff burnout and
self-careManage insurance policies, legally required governance
filings, and agency policiesManage building contracts and
compliance with facilities policies and processes with Sobrato
Center for NonprofitsCultivate relationships with community groups,
companies, schools, city government, and local leaders to promote
FFY programsAssist with funding proposals and fundraising, and
grant reporting for the program to ensure the continuous delivery
of serviceQualificationsThis is an extraordinary opportunity for an
individual with a passion for empowering youth, who also wants to
be instrumental in further developing a proven, growing, and vital
program. The successful candidate will oversee Friends for Youth's
award-winning programs, partner with leadership, and work
collaboratively with a young, adaptive, innovative team.Specific
requirements include:BA/BS minimum; MSW/MFT or other mental health
master's degree highly preferredSpanish speaker preferredMinimum
5-10 years experience with demonstrated success managing nonprofit
program models, operationalizing innovative programs, and running
agency operations; ideally within education, youth development, and
mental health fieldsFinancially savvy; experience in nonprofit
financial reporting and administration; Quickbooks savvyGrant
administration and reporting experience a plusSpanish-speaker
preferredHigh emotional intelligenceStrength in hiring, recruiting,
managing, developing, coaching, and retaining individuals and
teams, empowering them to elevate their levels of responsibility
and performanceHigh proficiency in technology and data
managementExcellent interpersonal skills; ability to communicate
effectively through verbal and written communicationHighly
organized with exceptional attention to detailsPersonal qualities
of integrity, credibility, accountability, and a commitment to
young people, families, equity, and Friends for Youth's missionPay
Range: $80K-$100K based on experienceFull-time Exempt
