Summary Of Major Responsibilities The Workplace Services Space Planner will serve as the overall architect for space planning, assignments, and allocations for all office, lab warehousing, and miscellaneous space in Redwood City, CA. The Space Planner will keep accurate space assignments, work with Finance and Human Resources on headcount projections, as well as assist business unit directors in adjacencies that allow for synergies amongst and between groups that routinely work together. The Space Planner will also keep the Computer-Aided Facilities Management (CAFM) system updated with accurate as-built drawings to ensure that all space plans are easily accessible, and that space is easily assignable within the system. This position is based in Redwood City, California. Essential Duties And Responsibilities - Prepare space plans for all departments and buildings; including recording changes, additions, and new renovations as required. - Prepare and coordinate headcount and space allocation reports based on Finance Department headcount projections. - Provide project team real time space conditions of areas affected by capital projects and prepares floor plans of new conditions upon completion of renovations. - Coordinate with the Administrative Services project team to identify seating locations of new hires based on existing floor plans with accurate department numbers and identification parameters. - Coordinate with the Administrative Services project team for office relocation projects and records space allocation and existing conditions accurately. - Work closely with Workplace Services project managers to support capital project laboratory renovations to provide accurate space allocation and existing conditions. - Coordinate office space surveys and collect, analyze, interpret, evaluate, and input data for facilities inventory. - Generate space allocation reports on a monthly basis for department head review and in preparation for the sitewide Space Planning Steering Committee meetings. - Perform field verification of sitewide office space surveys on a regular basis to ensure the space plan and allocation reports are accurate. - Maintain perpetual CAFM system, verifying data integrity and ensuring accuracy. - Coordinate and maintain campus moves, adds, and changes (MAC) for end users and other support functions. - Validate current space functions and allocations on a regular basis. - Coordinate with Facilities Planning and Construction teams, Operations and Maintenance (O & M) teams, etc. to maintain current campus building floorplans. - Maintain building room numbering and room identification signage. - Participate in campus Space Planning Steering Committee meetings and assist in preparation of meeting agendas, presentations, minutes, etc. - Strong interpersonal skills and the ability to interact with senior leadership, customers, and stakeholders. - Displays a high degree of self-confidence and professionalism as well as the ability to work across cross-functional boundaries. - Self-starter, with the ability to organize and prioritize. - Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork. - Support and comply with the company's Quality Management System policies and procedures. - Regular and reliable attendance. - Ability to work designated schedule. - Ability to work nights and/or weekends as needed. - Ability to lift up to 50 pounds for approximately 5% of a typical working day. - Ability to work seated for approximately 75% of a typical working day. Ability to work standing for approximately 25% of a typical working day. - Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 50% of a typical working day. - Ability to grasp with both hands; pinch with thumb and forefinger; turn with hand/arm; reach above shoulder height. - Ability to use a telephone through a headset. - Ability to comply with any applicable personal protective equipment requirements. - Ability to travel 5% of working time away from work location, may include overnight/weekend travel. Qualifications Minimum Qualifications - Bachelor's degree in Business Administration, Engineering, or related field; or high school degree and 4 years of relevant experience in lieu of Bachelor's degree. - 6+ years of experience working in an office and lab environment where responsibilities include space planning, assignments, and allocation. - 5+ years of experience working in an office and laboratory setting. - Proficient computer skills to include Internet navigation, Email usage, and word processing. - Proficient in Microsoft Office. - Proficient in AutoCAD and Visio, in addition to the ability to read drawings, plans, and specs for furniture. - Authorization to work in the United States without sponsorship. - Demonstrated ability to perform the Essential Duties of the position with or without accommodation. Preferred Qualifications - Proficient in AutoCAD to include understanding layering within the program and the ability to read architectural drawings. We are an equal employment opportunity employer.
