Job Description:

The Legal Aid Society of San Mateo County (Legal Aid SMC) seeks a motivated and detail-oriented person to join our Operations Team. This role reports to the Director of Operations and provides administrative leadership to a dynamic nonprofit law firm.Legal Aid SMC connects low-income individuals, seniors, and people with disabilities with the legal services they need. The Operations Team supports this work by ensuring that the office runs smoothly. The Operations Team includes both finance and administrative functions, and the Office Manager will work cross-functionally to manage key projects that support internal office operations.Our ideal candidate is well-organized and able to balance multiple competing priorities. We need someone to "push" when necessary to keep the various Operations Team activities on-time and on-track. You'll work closely with our administrative and finance team members as well as with our Director of Operations and our Executive Director.Responsibilities:Administrative Leadership:Supervise Administration Team - You'll ensure that the Admin Team runs smoothly and that the tasks assigned to this team are completed.Executive Director Support - You'll provide basic administrative support to our Executive Director including handling outgoing correspondence, creating packets for Board meetings, and reserving meeting and event space.HR Support:Benefits Administration - You'll manage the day-to-day interactions with our benefits vendors, and help our employees access the information they need. You'll also make sure new employees are enrolled in benefits, help employees make changes to their benefits when appropriate, and terminate benefits for employees who leave our organization.Payroll Backup - You'll learn our payroll system and be the backup when our bookkeeper is out of the office.Administrative Management of Hiring Process - You'll keep us organized during the hiring process for employees and Fellows by posting positions, monitoring incoming applications, scheduling interviews, circulating resumes and interview questions, and keeping applicants updated on the hiring process.Operations Support:Insurance - You'll make sure our insurance is current, and that our contractors have up-to-date Certificates of pliance - You'll assist the Director of Operations to create and maintain a compliance calendar to ensure that government and tax documents are up-to-date.Technology - You'll be our non-technical IT go-to person and will work with our outside IT vendor to prepare for new employees' first day (computer settings, passwords, etc.) and help troubleshoot everyday tech issues.Qualifications:Required:At least 4 years of administrative work experience - You'll be the "owner" of several key responsibilities, and we need someone with the confidence and experience to take them on.At least 1 year of management experience - You'll be supervising projects and people. We need someone who has successfully run an effective team and understands the challenges of this type of work.Able to balance multiple tasks - We need someone who knows how to handle competing priorities and who isn't rattled if a few things come up at once. You should be comfortable prioritizing tasks so that everything can get done on time without letting things drop... you'll be doing this a lot.Preferred:At least 1 year of experience handling benefits administration and/or payroll.
