PROJECT COORDINATOR The Program Development Department at Adicet Bio is responsible for high quality program/project management to ensure the timely achievement of nonclinical, manufacturing, clinical, and regulatory project goals consistent with Adicet Bio's approved strategies and work plans. The Project Coordinator will provide administrative and other project-based work, including direct responsibility for small projects, to support the Program Development Department and other Adicet departments, as assigned. Responsibilities: Assists the Vice President, Senior Directors, Directors, and other staff in the Program Development Department by participating in and/or being directly responsible for tasks that support the efficient functioning of teams towards achievement of agreed goals and deliverables on time, including but not limited to:

  • Project Coordination:
    • Coordinates a multitude of project-based work and team activities with efficiency in collaboration with the lead Development and/or lead CMC Program Manager.
    • Meetings: Helps to create/maintain presentations, agendas, minutes, action/decision logs, attendee lists and calendar invitations.
    • Maintains project and department files.
    • Helps to track Program Development Department goals and initiatives.
    • Tracks individual/department expenses and prepares expense reports in accordance with Adicet Bio expense report policy.
    • Coordinate Meeting Arrangements:
      • Schedules meetings with internal and external groups as requested.
      • Prepares meeting materials (agendas, presentations, minutes, etc.) as assigned.
      • Arranges catering, room set up and clean up as assigned.
      • Coordinate Travel Arrangements:
        • Makes travel arrangements for business-related travel in accordance with Adicet Bio travel policy.
        • Communication and Interpersonal Activities:
          • Helps to prepare and distribute correspondence, documents and progress reports using word processing, spreadsheet, or presentation software as directed.
          • Liaises with internal staff at all levels as needed. Provides other administrative support, including support for the Program Development Department and other departments, as assigned after discussion with your manager:
            • Miscellaneous:
              • Manages and maintains your manager's calendar as needed.
              • Ensures business related memberships are kept current.
              • Registers for scientific conferences and off-site trainings as requested.
              • Orders supplies, books, etc. as needed.
              • Scans, prints, and files. Qualifications:
                • A Bachelors level degree required.
                • Possesses a general understanding of project management principles.
                • Experience in the pharma/biotech industry highly desired.
                • Excellent computer skills and in-depth knowledge of relevant software such as: MS Outlook, Word, PowerPoint, and Excel.
                • Knowledge of standard office administrative practices and procedures.
                • Strong interpersonal and communication (written and verbal) skills.
                • Strong organizational and planning skills, flexibility, ability to meet deadlines, and work as part of a team.
                • Effective task planning and coordination abilities.
                • Proven ability to multi-task.
                • Resourceful; proactive; anticipate needs.
                • Identifies issues as they occur and seeks guidance on resolution.
                • Effectively interacts with members of the Program Development Department, Adicet teams, senior management and outside vendors as needed. Good listener; open minded and receptive to feedback and other ideas.

In compliance with California's pay transparency law and in pursuit of pay equity and fairness, we publish salary ranges for all open positions. The pay scale range for this role is $83,000 - $115,000.00 annualized base salary. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, their qualifications (education, experience, specialty, and training), and peer and market data.
